You help make sure everything runs smoothly after projects are finished. You support customer communication, manage documents, and help coordinate warranty claims. You work closely with different teams to keep customers happy and make sure all follow-up activities are well organized.

Your tasks

  • Assist with daily operations of VIP warranty services
  • Prepare, update, and keep post-completion documents organized
  • Help schedule meetings, customer calls, and coordinate activities
  • Support customer communication by preparing letters, follow-ups, and updates
  • Track customer requests and send them to the right departments
  • Keep logs of concession items and warranty claims
  • Follow up with departments and vendors on open items
  • Prepare status reports for review
  • Help close out documents when issues are solved
  • Work with internal teams like engineering, quality, workshops, logistics, and customer support
  • Communicate with outside suppliers and service providers
  • Help make sure everyone has the right information
  • Assist in tracking service costs, invoices, and expenses
  • Prepare basic financial reports for management
  • Collect data for cash flow and budget tracking
  • Support preparation of improvement proposals and process documents
  • Help update procedures and templates for service operations
  • Support risk and quality actions
  • Make sure internal rules and quality standards are followed

What you bring

  • Experience in administrative or coordination roles (aviation or technical services preferred)
  • Strong organization and multitasking skills
  • Excellent English communication skills; other languages are a plus
  • AMOS skills required
  • Good with MS Office (Excel, Word, PowerPoint, Outlook)
  • Able to work in a fast-paced, customer-focused setting
  • Detail-oriented and can handle confidential information
  • Team player with a proactive attitude
  • Comfortable working with many departments and outside partners
  • Willing to learn about VIP aircraft aftercare services
  • Service-minded and focused on customer needs
  • Can prioritize tasks and follow through
  • Full-time position
