Join a small, dynamic team supporting top-level research at ETH Zurich and the NCCR Genesis project. You help drive research on the origin of life, working with scientists from across Switzerland. In this role, you support the NCCR Director and help with HR and equal opportunity activities. You play a key role in making sure everything runs smoothly and everyone feels welcome.

Your tasks

  • Plan, coordinate, and prioritize your supervisor's calendar, including travel arrangements
  • Support senior group members or assistant professors with ETH Zurich administrative matters
  • Communicate closely with key people managing NCCR Genesis operations at ETH Zurich
  • Take meeting minutes and follow up on decisions and tasks
  • Coordinate internal communication, announcements, news, and regular website updates for the group and some institute duties
  • Handle all HR processes for the research group, including onboarding new members
  • Act as secretary of the Equal Opportunity Committee for NCCR Genesis
  • Be the first point of contact for the research group, coordinating with internal and external stakeholders and visitor programs
  • Manage administrative tasks like mail processing, document management, and process support
  • Handle ad-hoc tasks from daily operations
  • Organize the group's annual science conference, welcome and network events, lunch seminars, and more
  • Act as contact for HR policies and equal opportunity questions within NCCR
  • Monitor personnel appointments funded by NCCR
  • Ensure compliance with SNSF rules on employment eligibility, salary scales, gender equality, and equal opportunity measures
  • Coordinate support for career development measures for early-career researchers, including mentoring and training

What you bring

  • Several years of experience as an executive-level assistant in an academic or service environment
  • Strong organizational skills and a structured, proactive, and forward-thinking working style
  • Professional and confident appearance with strong service orientation, diplomacy, and political sense
  • Very good communication skills with fluency in German, French, and English
  • Confidence working with different, demanding groups and communication formats
  • Experience managing several tasks at once under time pressure, setting priorities, and finding solutions independently
  • High flexibility, reliability, accuracy, and discretion with confidential information
  • Team player with a good sense of humour
